WELCOME TO THE EXHIBITOR MANUAL FOR NT RESOURCES WEEK

Download the delivery label for ALL items being delivered to the venue.

All goods must be covered by proper customs documents – please mention it is a temporary exportation to avoid paying more taxes than expected. The venue will not pay any taxes/duties etc and will not accept any underpaid charges.

It is your responsibility to arrange for items to be picked up at the end of the event – items must be collected by the end of Friday, 5 September 2025. You must book the courier and ensure that your items are clearly labelled with your company name, return address & consignment note. Items left after this time will be disposed of.

The Venues Event Planning Guide contains key details about the Darwin Convention Centre and the facilities and services available to Exhibitors including Rigging / Stand Cleaning / Wi-Fi / Storage etc.

Wi-Fi

The venue offers free Wi-Fi service providing limited internet access in the venue at a speed of 2mbps.

If you require a fixed line connection or upgraded Wi-Fi connection, please complete the Exhibition Services Form D Application for IT Services.  

Familiarise yourself with the emergency evacuation procedures.

Testing and Tagging Requirement

All exhibitors must ensure their testing and tagging of electrical equipment is up to date prior to arriving for bump in and understand that if their items are not tagged and tested then penalties from the venue may apply.

COMPULSORY FORMS – DUE MONDAY 4th AUGUST 2025

Complete your exhibitor profile on the ConnectMe Event App for maximum promotional visibility, review essential Health Safety and Security information for you and your contractors, and ensure coverage with our complimentary AUD $20 million Public Liability Insurance by submitting the required form.

Nominate 1 person attending move in/out to complete on behalf of all exhibitors staff onsite, and they must have a copy of the certificate at hand.

In case of any stand building and/or delivery queries, the event organiser must be able to contact the onsite staff member responsible for setting up your stand during Move-In and for removing product during Move-Out.

The primary contact for your company will receive a unique link to the Visit portal where they can manage your complimentary delegate, and exhibitor passes. Simply access the portal using your email verification code, navigate to the STAFF section, and register your complimentary passes, noting that speakers will be registered separately by our team.

If you are unable to locate the email, please contact the event organiser.

Submit your custom stand designs directly to the event organiser.

Fascia Signage – DUE Monday 11th August

Confirm your Fascia signage directly with our stand builder. Fusion will be in touch with you to confirm any booth requirements you may have.

* If fascia signage text is not confirmed with our official stand builder by Monday 11th August, our stand builder reserves the right to print fascia signage as per the company name on your contract with Informa, and any changes required after this deadline may incur costs.

LEAD RETRIEVAL

The primary contact from each company will receive a unique link to access the Visit portal where they can set up Lead Retrieval.

Instructions

  1. Click on your unique link; an access code will be sent to your email address. Only the primary contact will be given access.
  2. Click IHHA&WCRR under the Events area.
  3. Your main company contact can login to the dashboard, and you will see the options “TEAM”, “QUESTIONS” and “LEADS” on the left-hand side:

Team – will show the colleagues attending the show using the company passes. These members will be provided with Lead Retrieval onsite in the ConnectMe App to allow scanning of QR codes from attendees badges to create your leads.

Questions – add your qualifying questions for your leads

Leads – this will show a comprehensive, real-time list of leads from your entire team onsite

  1. These can be downloaded post-event as a .csv spreadsheet. You will receive an email in the lead-up to the show on how your team can access lead retrieval through their personal devices via the ConnectMe app.

Post Event

As an exhibitor you will still have access to your profile and access leads/responses obtained at the conference.

BETTER STANDS

The Better Stands programme aims to celebrate exhibitors, along with their appointed contractors, who choose to build reusable stands instead of single-use disposable ones.

  • A disposable stand is a space only/raw space stand that is used only once and typically constructed from raw materials onsite and then send to landfill or burnt for energy after the event.
  • A reusable exhibition stand is any stand that is used more than once and can include systems using wood, aluminium, fabric, cardboard, glass, plastic and other materials.

We are actively piloting and developing this programme with other event Organisers across the industry and greatly appreciate your involvement and support. More information on the programme can be found at https://betterstands.info/

What do I need to do?

To make your commitment to Better Stands and contribute to a more sustainable event:

  1. Familiarise yourself with the Better Stands framework found below
  2. Share these guidelines with your contractor before they begin designing your stand 3.
  3. We encourage everyone to work towards a bronze level. This means that the stand structure and walls, platform or raised flooring, furniture, equipment and lighting are all reused. Doing this usually eliminates most of the waste and takes a big step towards reusability without compromising on cost or stand design.
  4. Ensure that the submitted stand design clearly communicates how you will meet the Better Stands guidelines

Our official suppliers are detailed within this exhibitor manual. These suppliers may contact you directly to confirm your requirements for this event.  You may experience other contractors pitching you for your business and advising you they are the preferred contractor, however, unless the company is included in the service providers list, then they are providing false information.
